The Executive Secretary will be responsible for coordinating executive schedules, managing confidential communications, preparing reports and presentations, and ensuring the smooth operation of the executive office. This role requires professionalism, discretion, and the ability to interact effectively with stakeholders at all levels.
Key Responsibilities
Executive Support
- Manage and organize the executive’s calendar, appointments, meetings, and business commitments.
- Prioritize tasks and ensure important reports, documents, and correspondence are readily available.
- Coordinate travel arrangements, business visits, and meeting logistics.
Communication & Coordination
- Serve as the primary point of contact for internal and external communications.
- Handle emails, phone calls, visitors, and official correspondence professionally.
- Maintain effective communication with departments, clients, and business partners.
Documentation & Reporting
- Prepare reports, presentations, meeting agendas, and business documents.
- Record meeting minutes and track action items to ensure timely completion.
- Assist with data collection, research, and preparation of management reports.
Administrative Management
- Support departmental administrative functions and office operations.
- Maintain records related to attendance, leave management, expenses, and procurement requests.
- Assist with invoice processing, petty cash administration, and budget-related documentation.
Project Coordination
- Support special projects by gathering information, coordinating stakeholders, and monitoring progress.
- Collaborate with cross-functional teams to ensure efficient execution of business initiatives.
Qualifications & Experience
Education
- Bachelor’s degree in Business Administration, Management, or a related field is preferred.
Experience
- Minimum 5 years of experience providing executive-level administrative support.
- Previous experience supporting senior executives, directors, or leadership teams is highly desirable.
- Experience in aviation, travel, hospitality, FMCG, or large corporate environments is an advantage.
Required Skills
- Excellent verbal and written communication skills in English.
