Al-Futtaim Automotive is looking for a Parts Advisor to support its automotive aftersales operations in Saudi Arabia. The role is responsible for identifying genuine automotive parts, preparing accurate quotations, processing orders, and ensuring the timely supply of parts to workshops, retail customers, and trade clients.
The Parts Advisor will work closely with technicians, Service Advisors, Workshop Supervisors, suppliers, and customers to maintain smooth parts operations. The position combines parts sales, customer service, inventory control, order management, and OEM compliance to support workshop productivity and aftersales performance.
The ideal candidate should have strong automotive parts knowledge, excellent attention to detail, customer-service skills, and experience working within a dealership or franchised automotive environment.
Key Responsibilities
Parts Sales and Customer Service
- Identify and supply genuine automotive parts based on customer and workshop requirements.
- Prepare accurate parts quotations and process customer orders efficiently.
- Advise customers on part compatibility, alternatives, accessories, and related products.
- Support monthly parts sales, gross-margin, and accessory sales targets.
- Provide professional service and timely communication to retail, workshop, and trade customers.
- Ensure orders are processed accurately to minimize incorrect parts supply and customer delays.
Inventory and Stock Management
- Process purchase orders, goods receipts, inter-branch transfers, and stock adjustments through the Dealer Management System (DMS).
- Maintain appropriate inventory levels for fast-moving and essential parts.
- Monitor slow-moving, obsolete, and aging stock and recommend appropriate corrective actions.
- Conduct regular cycle counts and participate in periodic physical stocktaking.
- Investigate stock discrepancies and support accurate inventory records.
- Ensure parts are properly stored, labelled, organized, and traceable according to OEM requirements.
Workshop and Aftersales Support
- Provide required parts to workshop technicians within agreed delivery times.
- Coordinate with Service Advisors and Workshop Supervisors regarding urgent parts requirements.
- Prioritize Vehicle-Off-Road (VOR) cases and follow up on critical orders.
- Monitor parts shortages and escalate issues that could affect vehicle repair timelines.
- Support vehicle preparation, accessories, and Pre-Delivery Inspection (PDI) requirements.
- Help maintain smooth workshop operations by ensuring required parts are available when needed.
Order Processing and OEM Coordination
- Place regular stock and emergency orders with approved OEM suppliers.
- Monitor open orders, backorders, and expected delivery dates.
- Provide accurate Estimated Time of Arrival (ETA) information to customers and internal departments.
- Maintain forward stock planning based on workshop demand, seasonal requirements, and promotional activities.
- Ensure parts sourcing, pricing, and ordering comply with OEM and company procedures.
Reporting and Compliance
- Prepare regular reports covering parts sales, margins, inventory levels, stock aging, and department performance.
- Follow OEM requirements and dealership procedures for parts operations.
- Maintain proper documentation for warranty parts returns and other parts-related processes.
- Ensure only genuine and approved parts are supplied through the dealership.
- Support internal and external audits by maintaining accurate transaction records and documentation.
- Follow company policies, safety requirements, and internal controls.
Educational Qualifications
- Diploma or Bachelor’s degree in Automotive, Business Administration, Logistics, Supply Chain Management, or a related discipline.
- Relevant automotive parts training or certification will be an advantage.
Experience Required
- 2–4 years of experience in automotive parts operations, preferably within a franchised dealership.
- Experience in Saudi Arabia or the GCC automotive market is preferred.
- Practical knowledge of parts sales, inventory management, workshop parts supply, and order processing.
- Experience with EV or hybrid vehicle parts and high-voltage components will be an advantage.
Technical Skills
- Experience using Dealer Management Systems (DMS) such as SAP, Kerridge, Autoline, or similar automotive systems.
- Good knowledge of OEM Electronic Parts Catalogues (EPC).
- Strong Microsoft Excel skills for inventory analysis, sales reports, and stock monitoring.
- Good understanding of automotive parts identification, ordering, pricing, and stock control.
- Strong attention to detail and ability to process transactions accurately.
- Ability to manage multiple customer and workshop requirements in a busy automotive environment.
- Arabic and English fluency, both written and spoken, is essential.
- A valid Saudi Arabia driving license is preferred.
