About the Role

As a Document Controller, you will help ensure that project and business documents are properly received, recorded, reviewed, distributed, stored, and archived.

The role also involves maintaining accurate document-control records, supporting project teams, coordinating with designers and suppliers, and helping junior document-control employees follow established procedures.

Candidates with previous construction-sector experience and knowledge of electronic document or drawing management systems may be particularly suited to this position.

Key Responsibilities

Document Control and Records Management

The selected candidate will be responsible for a range of document-control activities, including:

  • Manage incoming and outgoing documents in electronic and physical formats.
  • Maintain an organized document-control system for project and business information.
  • Record, track, monitor, and distribute documents to the appropriate teams.
  • Keep document registers and records accurate and up to date.
  • Ensure important project information remains accessible to authorized team members.
  • Issue controlled copies of documents according to approved project procedures.
  • Review drawings and documentation to confirm that required formats and document statuses are followed.
  • Coordinate with designers, consultants, suppliers, and other stakeholders regarding documentation queries.
  • Support the management of drawing and document-control systems.
  • Assist users when they experience problems accessing or using document-management platforms.
  • Provide guidance on document issuance, storage, retrieval, and system procedures.
  • Review existing document-control procedures and recommend updates when necessary.
  • Ensure revised documents are appropriately authorized and recorded.

Team Supervision and Training

The Document Controller may also provide guidance and support to other employees involved in document management.

Responsibilities may include:

  • Supervise junior Document Control team members when required.
  • Help train employees and project participants on document-management procedures.
  • Provide system guidance to designers and specialist suppliers.
  • Encourage consistent use of approved document-control processes.
  • Identify opportunities to improve departmental procedures and working practices.

Project and Operational Support

In addition to document management, the role supports the wider project team and operational requirements.

The successful candidate may be expected to:

  • Follow applicable health, safety, quality, and environmental procedures.
  • Support compliance with organizational and project documentation requirements.
  • Work with the Design Manager when preparing information related to project design performance.
  • Identify opportunities to improve document-management efficiency.
  • Coordinate effectively with different departments and external project stakeholders.
  • Complete other reasonable responsibilities assigned by the Line Manager.

Skills Required

Candidates should have strong organizational skills and be comfortable managing large volumes of project information.

  • Intermediate knowledge of Microsoft Office applications.
  • Practical experience using Microsoft Excel, Word, and Outlook.

Qualifications and Experience

  • A Diploma or Degree in Information Management or a related field.
  • Approximately 3–5 years of relevant experience in the construction industry.
  • Previous experience handling project documentation or document-control activities.
  • Good working knowledge of Excel, Outlook, and Word.
  • Familiarity with electronic document or drawing-management systems would be beneficial.
  • Experience coordinating documentation with project teams, designers, consultants, or suppliers may be advantageous.
