Key Responsibilities

CAFM System Administration

  • Operate and maintain the CAFM platform to support facility management operations.
  • Update asset records, preventive maintenance schedules, work orders, and maintenance plans.
  • Monitor the progress of preventive, corrective, and reactive maintenance activities.
  • Generate regular operational reports and provide system data to management when required.

Helpdesk and User Support

  • Act as the first point of contact for CAFM-related support requests.
  • Assign maintenance work orders based on technician availability, location, and expertise.
  • Track service requests and ensure timely completion of assigned tasks.
  • Escalate technical issues to the appropriate support teams when necessary.
  • Provide basic system guidance and user support to employees.
  • Assist in preparing user documentation and training materials to improve system adoption.

Facilities Management Support

  • Coordinate work order management and support daily facility operations.
  • Monitor Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) using CAFM reports.
  • Support the addition of new assets, properties, and maintenance schedules into the CAFM database.

Data Management and Quality Control

  • Review and maintain accurate facility and asset information within the CAFM system.
  • Conduct regular data audits to ensure consistency and accuracy.
  • Work closely with maintenance teams and contractors to ensure service updates are properly recorded.
  • Identify data discrepancies and recommend improvements to enhance operational efficiency.

Compliance and Documentation

  • Maintain complete and accurate maintenance records and system documentation.
  • Ensure CAFM processes comply with company policies and applicable industry standards.
  • Keep documentation updated for assets, workflows, and maintenance history.

Process Improvement

  • Participate in continuous improvement initiatives to optimize facility management processes.
  • Recommend enhancements that improve system efficiency, reporting accuracy, and service delivery.
  • Support the implementation of best practices within the facilities management team.

Qualifications

  • Diploma or Bachelor’s Degree in Facilities Management, Engineering, Information Technology, or a related discipline.
  • Minimum of 3 years of experience as a CAFM Operator or in a similar facilities management role.
  • Strong understanding of facility maintenance operations and asset management.
  • Experience using CAFM software such as MIMS, Maximo, Oracle, MRI, or FSI.
  • Good working knowledge of Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to manage multiple tasks while maintaining high levels of accuracy.
