Job Overview
The Administrator – Logistics Administration is responsible for supporting shipment, transportation, and delivery operations to ensure customer requirements are fulfilled according to agreed schedules, company policies, and operational standards. The role involves coordinating with shipping lines, transport companies, freight forwarders, production teams, and other logistics stakeholders to monitor shipments and ensure timely delivery.
Key Responsibilities
Daily Logistics and Shipment Operations
- Coordinate and allocate shipment activities to the appropriate vessel operators, shipping companies, or transport providers.
- Enter and maintain shipment schedules and operational information in the relevant company systems.
- Coordinate with Production Scheduling, Container Freight Stations (CFS), shipping lines, and transport companies to ensure shipments follow the agreed schedule.
- Communicate with shipping lines, transporters, freight forwarders, and other logistics partners regarding shipment and delivery status.
- Monitor shipments from dispatch through final delivery and update delivery information accurately in the system.
- Follow up on delayed, incomplete, or potentially problematic shipments and escalate issues to the relevant supervisor or line manager.
- Maintain accurate operational records and complete administrative tasks related to shipping and logistics activities.
- Monitor assigned tasks and work progress to ensure operational requirements are completed on time.
- Support the logistics team in resolving shipment and transportation issues to minimise delays and service disruptions.
Shipment and Delivery Coordination
- Track shipment movements and maintain regular communication with transport and logistics service providers.
- Verify delivery status and ensure completed deliveries are properly recorded in the company’s systems.
- Coordinate with internal departments and external logistics partners to maintain smooth shipment flow.
- Provide timely updates regarding shipment schedules, delivery progress, and operational issues.
Administrative Support
- Maintain accurate shipment, transport, and delivery records.
- Update logistics information and schedules in internal systems.
- Prepare and complete documentation associated with shipping and transportation activities.
- Ensure administrative procedures are followed in accordance with company policies and operational standards.
Safety, Quality and Environment
- Follow all applicable company policies, procedures, and controls relating to safety, quality, and environmental management.
- Perform logistics and administrative activities in accordance with established workplace safety and quality standards.
- Support a safe, efficient, and well-organised working environment.
Additional Responsibilities
- Perform other logistics, shipping, transportation, and administrative duties as assigned by the supervisor or management.
- Support the wider logistics team whenever required to meet operational and customer service objectives.
Qualifications and Requirements
Minimum Qualification
- Grade 12 certificate, high school qualification, or equivalent.
Required Experience
- 1–2 years of experience in export shipping, logistics, transportation, or a related field.
- Experience coordinating shipments, deliveries, transport providers, or freight forwarders is beneficial.

- Good computer skills, including Microsoft Office, email, and internet applications.
- Good verbal and written communication skills.
